Role Description

The Executive Assistant / Personal Assistant will provide high-level administrative and organizational support to senior leadership and project teams within PSAA in a full-time, remote capacity.

Daily tasks include managing calendars and scheduling meetings, organizing virtual events, coordinating travel arrangements, and handling correspondence and document preparation in both Portuguese and English when needed.

The role will involve maintaining files and records, preparing reports and presentations, supporting project coordination activities, and ensuring smooth communication between internal and external stakeholders.

The Executive Assistant / Personal Assistant will also monitor deadlines, assist with follow-up on action items, and help streamline administrative processes to support program goals.

This position requires a proactive, detail-oriented professional who can work independently while collaborating effectively with a distributed team.

Qualifications

  • Strong Personal Assistance skills, including proactive support, task prioritization, and discretion in handling confidential information.
  • Proven experience in Executive Administrative Assistance, supporting senior leaders with scheduling, meeting preparation, and follow-up.
  • Excellent Communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
  • Effective Diary Management capabilities, including organizing complex calendars, coordinating time zones, and managing conflicting priorities.
  • Solid Clerical Skills such as document formatting, data entry, filing, and accurate record-keeping.
  • High level of digital literacy, including proficiency with office productivity tools (e.g., Microsoft 365 or Google Workspace) and video-conferencing platforms.
  • Strong organizational and time-management abilities, with attention to detail and a solution-oriented mindset.
  • Fluency in Portuguese and good command of English are highly beneficial; experience in sustainability, agriculture, or non-profit environments is a plus.
  • Relevant education such as a secondary school diploma; additional training or a degree in administration, management, or a related field is an advantage.
