Job Description

For our Dubai-based team, we are seeking an

Executive Assistant.

The candidate will be responsible for the practical management of schedules and appointments, the meticulous organization of business trips, conferences, and corporate events, and the constant monitoring of all bookings.

The role also involves operational support in data management, maintaining file order, and updating databases through archiving and data-entry activities.

Responsabilities

  • **Calendar management:**
  • organizing appointments, internal meetings, and optimizing requests from operational teams.
  • **Travel support:**
  • comprehensive logistical planning for business travel, including flights, hotels, and visas for staff.
  • **Document management:**
  • drafting, formatting, and filing contracts, reports, and corporate presentations.
  • **Operational Back-Office:**
  • monitoring internal deadlines and providing support in retrieving technical information and documents.
  • **Office coordination:**
  • operational management of internal services to ensure the team has all the necessary support to work smoothly.

Experience & Education

  • At least 2-3 years of experience in small to medium-sized enterprise offices.
  • **Languages:**
  • excellent knowledge of English (written and spoken) and Spanish (written and spoken) for managing international documentation and contacts.

Skills

  • **Exceptional organizational skills:**
  • ability to manage multiple tasks simultaneously with order and method.
  • **Precision and confidentiality:**
  • handling internal information with the utmost discretion.
  • **Technological proficiency:**
  • excellent knowledge of the Microsoft Office Suite (particularly Word and PowerPoint) and digital collaboration tools.
  • **Proactivity:**
  • ability to anticipate office needs and independently resolve minor logistical issues.
