Overview
The Executive Assistant to the COO is a high-impact support role focused on enabling the COO to focus on top priorities by effectively managing time, information, and decision-making.
Beyond traditional support, this role is expected to identify, introduce, and embed AI and digital tools that enhance efficiency, streamline workflows, and improve how the COO operates day-to-day.
You will play a key role in modernizing the COO Office, proactively finding smarter, faster ways of working.

Key Responsibilities
- Act as a force multiplier for the COO by proactively managing priorities, time, and information flow
- Own and manage complex calendar scheduling, ensuring alignment with strategic priorities
- Demonstrate strong analytical capability by translating complex information into clear insights and executive‑level presentations to support strategic decisions.
- Serve as a central point of contact, managing and filtering internal and external communications with sound judgment
- Coordinate COO Office meetings, including agenda preparation, note-taking, and follow-ups
- Proactively identify opportunities to improve efficiency, including recommending and implementing AI or digital tools where appropriate
- Support the preparation of briefings, presentations, and reports, using available tools to enhance quality and speed
- Manage travel logistics end-to-end, ensuring seamless execution and adaptability
- Establish and maintain structured systems for document management and information tracking
- Oversee expenses and petty cash with accuracy and discipline
- Continuously challenge existing ways of working and introduce more efficient, scalable approaches
Qualifications
- Bachelor’s degree in Business Administration or a related field preferred
Knowledge & Capabilities
- Strong business acumen with the ability to connect details to broader strategic priorities
- Highly organized with exceptional attention to detail and execution discipline
- Excellent writing and presentation skills, with the ability to distil complex information clearly
- Naturally curious and proactive in exploring new tools, including AI and automation
- Resourceful and solution-oriented, with the confidence to suggest improvements and implement change
- Comfortable operating in fast-paced, evolving environments with shifting priorities
Technical Competencies
- Advanced proficiency in Microsoft Office 365 (Outlook, PowerPoint required; Excel preferred)
- Digitally savvy, with the ability and willingness to learn, test, and adopt new tools quickly
- Exposure to or interest in AI-enabled productivity tools (e.g., meeting assistants, workflow automation, content support tools)
- Ability to independently assess tools and recommend those that enhance productivity and decision-making
- Ability to apply analytical skills using digital tools (e.g., Excel, PowerPoint, AI‑enabled tools) to analyze information and present actionable insights
Experience
- Minimum of 5 years’ experience supporting senior executives in a large or multinational organization
- Proven ability to coordinate complex initiatives, projects, or programs involving multiple stakeholders
- Demonstrated track record of improving processes and driving efficiency in prior roles
