About This Role

Overview

We are currently looking for a highly organized and proactive

Executive Assistant

to join us at the Department of Culture and Tourism – Abu Dhabi (DCT Abu Dhabi) on a

12-month freelance contract.

DCT Abu Dhabi plays a central role in driving the sustainable growth of the emirate’s culture and tourism sectors, positioning Abu Dhabi as a global destination for culture, creativity, and tourism.

This role offers the opportunity to work at the heart of a dynamic environment, supporting senior stakeholders and contributing to the smooth execution of day-to-day operations.

Role Overview

This role is critical in ensuring efficient administrative and operational support across the team, with direct exposure to senior leadership and high-level coordination activities.

The ideal candidate will bring strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage calendars, coordinate meetings, and resolve scheduling conflicts
  • Coordinate travel arrangements, events, and departmental activities
  • Maintain and update stakeholder and contact databases
  • Prepare, organize, and manage correspondence, reports, and presentations
  • Support executive correspondence and prioritize communications effectively
  • Track and coordinate executive approvals and signatory requirements
  • Set up conference calls and ensure smooth communication with stakeholders
  • Maintain both electronic and physical filing systems

Technology & Tools

  • Create documents, reports, spreadsheets using Microsoft Excel, Word and PowerPoint
  • Create presentations in PowerPoint
  • Demonstrated proficiencies with specific technologies e.g. AdobeSign, KissFlow, Oracle, SAP, SharePoint, etc.

Basic Qualifications

  • 5+ years of administrative support experience, ideally within a corporate or government environment
  • Prior experience in office management is highly desirable

  • Manage multiple simultaneous projects and meet deadlines
  • Capacity to multi-task, prioritize work load and effectively manage time
  • Lead by example regarding efficient work habits and professional behavior
  • Ability to work in fast-paced, deadline driven environment
  • Demonstrate excellent oral and written communication skills
  • Work effectively as part of a team and lead a team when required, yet be able to work independently with minimal supervision
  • Perform all tasks with attention to detail and review for accuracy.
  • Maintain courteous, professional manner in person and on the phone.
  • Ability to maintain confidentiality.
  • Proficient in Microsoft Office application (Excel, Word, PowerPoint)
