Documentation Operations Executive (Business Setup) & Executive Assistant

Job Summary

The Documentation Operations Executive is responsible for managing all documentation and administrative processes related to business setup services, ensuring compliance with government regulations and company procedures.

The role also includes providing executive support to management by coordinating schedules, handling communications, and assisting with daily operational activities.

Business Setup & Documentation

  • Prepare, review, and process business setup applications and related documents.
  • Coordinate with government authorities, free zones, banks, and service providers for company formation and licensing procedures.
  • Handle trade license applications, renewals, amendments, and cancellations.
  • Manage visa applications, renewals, cancellations, and immigration-related documentation.
  • Ensure all client documents are complete, accurate, and submitted within deadlines.
  • Maintain organized records of client files and documentation.
  • Track application statuses and provide regular updates to clients and management.
  • Ensure compliance with UAE regulations and company policies.
  • Assist clients with document attestation, notarization, and other regulatory requirements.

Operations & Coordination

  • Coordinate with internal departments to ensure smooth service delivery.
  • Follow up with clients regarding required documents and approvals.
  • Maintain databases, trackers, and operational reports.
  • Support process improvements to enhance efficiency and customer satisfaction.

Executive Assistant Responsibilities

  • Manage calendars, appointments, and meetings for senior management.
  • Prepare meeting agendas, minutes, and follow-up action items.
  • Handle correspondence, emails, and phone communications on behalf of management.
  • Coordinate travel arrangements, hotel bookings, and business itineraries.
  • Prepare presentations, reports, and business documents.
  • Maintain confidentiality of sensitive business information.
  • Assist management with special projects and administrative tasks.

Qualifications & Requirements

  • Bachelor’s degree in law, or a related field.
  • Minimum 1-2 years of experience in UAE business setup, documentation, administration, or executive support roles.
  • Knowledge of UAE company formation procedures, visa processes, and government regulations.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills in English.
  • Pay: AED3,000.00 - AED4,000.00 per month
