Job Summary

We are looking for a highly organized and detail-oriented **Document Controller** to join our Maintenance Department.

If you have strong administrative skills, enjoy working in a fast-paced environment, and have experience managing documentation and coordinating maintenance activities, we'd love to hear from you.

Key Responsibilities

  • Manage and maintain maintenance documentation, including work orders, service reports, manuals, drawings, and AMC records.
  • Ensure documents are properly controlled, updated, approved, and easily accessible.
  • Coordinate preventive maintenance schedules, repairs, and Annual Maintenance Contract (AMC) service visits.
  • Prepare purchase requisitions, purchase orders, and process maintenance-related invoices.
  • Maintain vendor documentation and monitor contract validity.
  • Prepare maintenance reports and track departmental performance metrics.
  • Coordinate with maintenance staff, contractors, vendors, and internal departments to ensure timely completion of maintenance activities.
  • Provide day-to-day administrative support, including filing, correspondence, scheduling meetings, and handling departmental communications.

Qualifications

  • High school diploma or equivalent.
  • 1–2 years of administrative or document control experience, preferably in a maintenance, facilities management, or engineering environment.
  • Strong organizational skills with excellent attention to detail.
  • Proficiency in Microsoft Office and document management systems.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and work independently.
  • Basic knowledge of maintenance operations is an advantage.
