- Summary: The Crane Coordinator owns the administrative coordination of UIS-managed crane appointments: request intake, scheduling, lookahead preparation, stakeholder notifications, updates and change tracking, readiness follow-up, and daily completion reporting. This is primarily an office position. Crane setup, lift engineering, operator direction, rigging supervision, and field safety execution remain with appropriately qualified crane contractor personnel and designated crane supervision.
- Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Receive and log crane requests; verify customer, date/time, area/port, scope, duration, contact and readiness details before placing work on the proposed schedule.
- Maintain the controlled crane schedule in Voyage / designated site scheduling tools; reconcile UIS work with the external site schedule and pending CMA / DB Team platform and access permissions.
- Publish a rolling 72-hour lookahead and next-day crane schedule. Send daily schedule notifications and clearly mark additions, cancellations, relocations, timing changes and unconfirmed requests.
- Coordinate with UIS crane supervision, crane foremen, warehouse, laydown, MCC, contractors and customer contacts regarding material availability, appointment conflicts and site readiness.
- Track external approvals, platform access status, crane conflicts and required field follow-up; escalate unapproved or unresolved work before scheduling is represented as confirmed.
- Collect appointment closeout information from foremen: actual start/finish, completion, late start, downtime and reason codes; reconcile omissions promptly.
- Issue daily crane coordination report covering next-day plan, changes, readiness gaps, exceptions, uncoordinated work and unresolved action owners.
- Maintain appointment records, notifications, contractor contacts, supporting lift-plan receipt/approval status (not technical approval), and SharePoint documentation as directed.
- Support weekly KPI summaries for crane utilization, start-time performance, delay causes, cancellations and shared customer activity.
- Communicate promptly and professionally; maintain an auditable revision trail and accurate handoff to the next shift.
- Role boundaries and escalation
- The crane coordinator verifies that required technical lift plans/permits and site permissions are recorded; does not author, engineer, sign or approve lift plans or select crane configurations.
- The crane coordinator does not direct operators, riggers or signal persons and is not the field lift supervisor.
- Unsafe conditions, incidents, mechanical issues and access conflicts are immediately relayed to crane supervision and EHS / external controlling parties as required.
- No unapproved exterior platform access or setup is represented as authorized; DB Team controls platform approval and CMA controls exterior routing/site movement requirements, subject to site rules.
