Overview
- Areas of Responsibility:
- Prepare and manage email correspondence and other written communications.
- Receive and assign CMMS internal and external calls.
- Generate and distribute the Planned Preventive Maintenance (PPM) schedule and task via CAFM system to Engineers and Technicians.
- Create and manage CM and PPM requests and assign tasks to Engineers and Technicians.
- Send notifications for Preventive Maintenance (PM) and Corrective Maintenance (CM) to suppliers via email, covering under-warranty, loan basis, and subcontracted medical equipment.
- Prepare and submit weekly CM and PPM pending reports, as well as monthly financial and technical reports.
- Handle and prepare petty cash reports.
- Process subcontract invoices for approval, updating the Subcontract Invoice Tracker accordingly.
- Monitor and update the medical equipment inventory in the CAFM system.
- Upload relevant documents to the CAFM system and maintain organized documentation for all medical equipment.
- Prepare and manage contract agreements for subcontracted machinery and track subcontract machine status.
- Provide support to Engineers and Technicians on CAFM-related issues and maintain records for PR, LPO, spare parts, and provisional sums (SEHA).
- Track and manage spare parts requests and CAFM store inventory.
- Maintain a tidy, well-organized, and systematic work environment, including scanning, photocopying, and organizing files.
- Any additional tasks or responsibilities related to the role may be requested by the line manager as required.
Qualifications and Experience
- Diploma in biomedical engineering / Biomedical Technology, or a related field (bachelor’s degree preferred)
- 1 to 3 years of relevant Experience in administrative and technical coordination role.
- Knowledge on Medical Equipment Maintenance.
