We are looking for a Chief of Staff to serve as the operational backbone of our Doha office, based at Qatar Science & Technology Park (QSTP) with a secondary office in Westbay (Alfardan Towers).
This is a high-trust, high-visibility, dual-function role combining founder support, on-site team coordination, and office leadership.
You will be the most senior person on the ground in Doha day-to-day.
Your job is to ensure the people, the environment, and the operational rhythm of our work are all running smoothly — keeping founders unblocked, the team focused, and the office running professionally.
On-Site Presence & Team Coordination
- Act as the primary on-site point of contact for the Doha team, providing a consistent and dependable physical presence at QSTP.
- Keep founders informed with regular, candid updates on attendance, morale, workload, and anything requiring their attention.
- Translate founder direction into clear task lists and follow-ups, ensuring the on-site team is always organised and unblocked.
- Coordinate team schedules, leave, and logistics so founders can stay focused on building the business.
Founder & Leadership Support
- Own founders’ calendars, travel, and scheduling across multiple time zones including the UK, US, France, and Qatar.
- Prepare briefing notes, meeting agendas, and action logs so every founder interaction is purposeful and well-prepared.
- Track open decisions, commitments, and follow-up actions across a distributed leadership team — nothing falls through the cracks.
- Coordinate investor and partner logistics: scheduling, materials, and data room management.
Business Operations & Office Management
- Track company-wide priorities and ensure the on-site team is aligned and executing against them.
- Support end-to-end hiring logistics: interview scheduling, candidate communications, and onboarding for Doha-based roles.
- Manage vendor relationships, contracts, and administrative coordination with suppliers.
- Oversee day-to-day office operations: facilities, equipment, supplies, and service contracts.
- Handle petty cash, expense reconciliation, and basic financial administration in coordination with the finance function.
- Organise team events, founder visits to Doha, client and partner meetings, and company milestones.

You are an experienced operator who prides yourself on making teams and leaders more effective.
You bring calm and clarity to fast-moving environments and you do not need to be reminded twice.
Essential
- 5–8 years of experience in operations, executive support, office management, or a Chief of Staff function, with some experience coordinating or supervising others.
- Proven ability to keep a small team organised and productive without being a subject-matter expert in what the team builds.
- Excellent written and verbal communication skills in English.
- High discretion and sound judgement — you will regularly handle confidential information and be the most senior person on-site.
- A proactive, self-directed mindset: you spot what needs doing, follow through without being chased, and escalate appropriately.
Preferred
- Prior experience in technology, financial services, or professional services; start-up exposure is a strong advantage.
- Genuine curiosity about artificial intelligence and enthusiasm for working at the frontier of an AI-driven business. No technical background required — just a willingness to engage and learn.
- Hands-on experience with AI productivity tools such as Claude, ChatGPT, Microsoft Copilot, or Notion AI, and a habit of adopting technology to improve your own work.
