Handle incoming phone calls, emails, and official inquiries addressed to the management office in a professional manner.
Organize and coordinate management meetings, including scheduling, invitations, and preparation for both physical and virtual sessions.
Manage daily administrative tasks and prioritize workload to ensure smooth and efficient office operations.
Follow up with staff on assigned tasks to ensure timely completion and proper execution of instructions.
Prepare meeting minutes, official directives, circulars, and management approvals in a clear and structured format.
Compile reports for senior management and maintain accurate, organized, and updated documentation.
Maintain a proper filing and archiving system for both digital and physical records to ensure easy access and control.
Receive, register, distribute, and track internal and external correspondence in an organized manner.
Schedule appointments, official visits, work programs, and management missions as required.
Support coordination and communication between different departments to ensure smooth workflow.
Assist in preparing official documents, presentations, and communication materials when needed.
Carry out additional administrative duties as assigned by supervisors.
Job Experience Requirements
Strong organizational and planning skills with the ability to manage multiple tasks efficiently.
Professional attitude with proper workplace behavior and presentation.
Excellent communication and public relations skills with confidence in verbal interaction.
Responsible, reliable, and detail oriented personality.
Fluent English communication skills, both written and spoken.
Strong ability in official writing and professional correspondence.
Advanced skills in Microsoft Office applications.
Basic knowledge of Photoshop and InDesign will be considered an advantage.
Understanding of office automation systems will be an added benefit.
