About This Role
Job Purpose
The Administrative Support Assistant is responsible for providing day-to-day administrative and operational support to ensure the smooth and efficient running of office activities.
This role involves coordinating internal processes, managing correspondence, supporting logistics, and enhancing overall workplace efficiency and the employee experience.
The role requires close coordination with the Admin Manager to organize tasks, follow priorities, and ensure timely execution.
The position may also involve
occasional out-of-office duties
based on operational and logistical needs.
Key Responsibilities
- Provide administrative support and assist the Admin Manager in daily operational tasks.
- Coordinate closely with the Admin Manager to manage priorities, track tasks, and ensure timely completion.
- Handle incoming and outgoing shipments, deliveries, and office materials efficiently.
- Represent the company when required with banks, government entities, and external service providers.
- Manage petty cash and temporary financial advances with accuracy and accountability.
- Prepare presentations, reports, and official correspondence in both

- Monitor and maintain office supplies to ensure continuous availability.
- Support employees with administrative services such as transportation, hotel bookings, travel tickets, and visa processes.
- Organize and maintain filing systems, records, and documentation in line with company standards.
- Assist in coordinating logistics for events, meetings, and operational activities (e.g., maintenance and facility management).
- Attend meetings or events when assigned and prepare reports within 48 hours.
- Obtain quotations from vendors and support cost-effective purchasing decisions.
- Follow up with logistics staff to ensure tasks are completed on time.

Qualifications & Experience
- Diploma or Bachelor’s degree in Business Administration or a related field.
