Role Overview
Marsh is hiring an **Office Administrator** to support business operations with a strong focus on **Etimad and KSA government/semi-government portals** .
This role requires high attention to detail, strong coordination skills, and the ability to manage registrations, documentation, and portal-driven workflows end-to-end.
Mandatory Requirement (Non‑Negotiable)
Hands-on Etimad experience is essential and will be used as a screening requirement.
Candidates without practical Etimad experience will not be considered.
Key Responsibilities
- Manage day-to-day activities on **Etimad** , including follow-up on RFQs/RFPs, submissions, and portal requirements.
- Collect and coordinate **client registration/KYC** requirements (legal documents, business details, supporting documentation) and ensure accurate, timely uploads to portals.
- Maintain and continuously update portal documentation, with a strong focus on **critical certificates and compliance documents** (including tracking validity/renewals and ensuring the latest versions are uploaded).
- Coordinate with internal teams (Legal, Finance, HR, Operations) to ensure timely document preparation and submissions.
- Support **PO and invoicing** requirements as per portal processes; coordinate with finance on invoice status, claims follow-up, and collections documentation when needed.
- Support administrative components of **proposal/RFP responses** in collaboration with cross-functional teams.
- Serve as a point of contact for queries related to registration, portal management, and document submissions; keep stakeholders informed of progress.
- Maintain accurate records of registrations, submissions, approvals, certificates, and correspondence.
Qualifications
- Bachelor’s degree in Business Administration or a related field.
- **3–5+ years** of experience in office administration, operations, procurement support, or portal-driven roles in KSA.
- **Mandatory:** proven, hands-on experience using **Etimad** .
- Strong knowledge of **KSA procurement processes** and familiarity with government procurement portals.
- Excellent organizational and time-management skills; ability to manage multiple priorities and deadlines.
- Strong communication and stakeholder management skills.
