Role Description
This role provides comprehensive administrative support to the top management team, ensuring the smooth day-to-day coordination of executive activities.
The Administrative Assistant acts as a key point of organization and communication, managing schedules, handling correspondence, and supporting internal processes.
The role contributes to efficiency by organizing information, prioritizing tasks, and assisting leadership in maintaining focus on key business priorities.
Key Responsibilities
- **Information Coordination and Reporting:**
- Review reports, internal updates, and communications to prepare clear summaries for the management team.
- Highlight important updates, deadlines, and required actions to support informed decision-making.
- **Stakeholder Support and Communication:**
- Act as a point of contact for external partners, clients, and government entities.
- Handle routine inquiries and correspondence, escalating more complex matters to management when necessary.
- **Cross-Department Coordination:**
- Assist in tracking the progress of tasks and initiatives across departments.
- Follow up on pending items, help identify delays, and support the arrangement of meetings to ensure smooth collaboration.
- **Document Review and Formatting:**
- Support the preparation and review of reports, presentations, and official documents to ensure accuracy, consistency, and professional presentation.
- **Calendar and Schedule Management:**
- Maintain and organize management calendars, schedule meetings, and ensure efficient time management by prioritizing appointments and minimizing conflicts.
- **Event and Training Support:**
- Assist in organizing company events, meetings, and training sessions by coordinating logistics, preparing materials, and liaising with vendors and participants.
- **Confidential Administrative Support:**
- Handle sensitive information with discretion and assist with administrative tasks related to internal projects, reports, and documentation.
Qualifications
- Arabic Speaker.
- Proven experience as a Administration Assistant (healthcare or dental industry is a plus).
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of professionalism and confidentiality.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and work under pressure.
- Strong attention to detail and problem-solving skills.
