1. Guest Interaction & Sales Support
- Conduct professional show-arounds for guests and planners requesting to view meeting rooms, ballrooms, and event spaces.
- Explain room capacities, setup possibilities, flow, and event logistics in alignment with Rosewood standards.
- Assist in gathering guest requirements, clarifying event details, and updating the team accordingly.
- Support with converting inquiries into confirmed events by delivering confident and elegant hospitality communication.
2. Event Coordination & Operations
- Prepare all event-related documents including BEOs, setups, floor plans, and operational notes.
- Ensure accurate communication of event details to Banquet Operations, Culinary, Stewarding, Engineering, Housekeeping, and other internal departments.
- Support the Events team during high-profile weddings, meetings, and VIP functions.
- Coordinate on-site needs and assist in maintaining readiness of all meeting rooms and event venues.
3. Menus, Tags & Materials Preparation
- Print all buffet name tags, food labels, menu cards, table tags, and any special signage required for events.
- Ensure luxury formatting, correct branding, and error-free content according to Rosewood identity standards.
- Maintain inventory and templates of all printed materials.
4. Administrative & Office Support
- Maintain event files, calendars, and departmental checklists.
- Follow up with vendors and internal teams as required.
- Assist with daily event briefings, minutes of meeting, and distribution of updated documents.
- Maintain professionalism, confidentiality, and organization in all tasks.
5. Service Excellence
- Uphold Rosewood’s luxury service standards in every interaction.
- Handle guest and planner requests promptly, accurately, and with elegance.
- Support the team in delivering memorable experiences for all social, corporate, and VIP events.
