Position Summary
The Tender & Sourcing Specialist is responsible for identifying and managing tender opportunities, sourcing products from international suppliers and manufacturers, preparing commercial quotations, and supporting business growth within the healthcare sector.
The role involves close coordination with suppliers, regulatory authorities, hospitals, procurement departments, and internal teams to ensure successful tender submissions and competitive commercial offers.
Tender Management
- Monitor and identify tender opportunities from government and private healthcare institutions in Qatar.
- Review tender specifications, requirements, and technical documentation.
- Coordinate with suppliers to obtain required documents, pricing, and product information.
- Prepare and submit complete tender proposals within specified deadlines.
- Ensure compliance with tender requirements, regulations, and company policies.
- Maintain an organized database of tenders, submissions, awards, and contracts.
- Follow up on tender results, clarifications, and contract awards.
International Sourcing & Supplier Management
- Identify and evaluate potential international suppliers and manufacturers for medical devices, pharmaceuticals, consumables, and healthcare products.
- Request quotations, technical documents, certifications, and commercial terms from suppliers.
- Conduct supplier comparisons and cost analyses to identify the most competitive solutions.
- Negotiate pricing, delivery terms, and commercial conditions with suppliers.
- Establish and maintain strong relationships with existing and prospective suppliers.
Quotation & Commercial Support
- Prepare quotations and commercial proposals for hospitals, healthcare facilities, and other customers.
- Ensure pricing accuracy and profitability in accordance with company objectives.
- Coordinate with finance, logistics, and regulatory teams to obtain necessary information for quotations.
- Support sales and business development teams with product pricing and commercial information.
Market Research & Business Development Support
- Conduct market research to identify new products, suppliers, and business opportunities.
- Monitor market trends, competitor activities, and customer requirements.
- Support product registration initiatives by coordinating with suppliers and regulatory teams.
- Assist in expanding the company's portfolio through strategic sourcing activities.
Documentation & Reporting
- Maintain accurate records of supplier communications, quotations, contracts, and tender documents.
- Prepare periodic reports on tender activities, sourcing projects, and supplier performance.
- Ensure proper filing and documentation in accordance with company procedures.
Education
- Bachelor’s degree in pharmacy, Biomedical Engineering, Business Administration, Supply Chain Management, or a related field.
Experience
- Minimum 2–5 years of experience in tender management, procurement, sourcing, or healthcare business development.
- Experience in the pharmaceutical, medical device, or healthcare industry is preferred.
- Familiarity with healthcare tenders and procurement processes in Qatar is an advantage.
Skills & Competencies
- Strong analytical and negotiation skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Experience with ERP systems and tender portals is an advantage.
- Fluency in English; Arabic is a plus.
