Special Project Manager (UAEN)

Overview

Strategic Project Analysis and Planning

• Analyze proposed projects and initiatives to determine alignment with UAENO's strategic objectives, artistic mission, and organizational capacity
• Conduct feasibility studies, cost-benefit analyses, and risk assessments for special projects under consideration
• Develop comprehensive project proposals, business cases, and implementation plans for review by the MD's Office
• Monitor industry trends, best practices, and emerging opportunities in the arts and cultural sector to inform strategic project selection
• Provide inputs for the preparation of future forecasts and strategic planning based on organizational growth, technology advancements, and sector developments

Project Implementation and Coordination

• Lead the execution of approved special projects from inception through completion, ensuring delivery on time, within scope, and on budget
• Establish clear project frameworks including timelines, milestones, resource requirements, and success metrics
• Lead cross-departmental collaboration, serving as the primary liaison between the MD's Office and operational and government teams
• Facilitate project governance by organizing steering committee meetings, preparing progress reports, and escalating issues as needed
• Develop and maintain project documentation including charters, plans, status reports, and post-implementation reviews

Performance Monitoring and Reporting

• Lead and optimize key operational processes within UAENO, identifying and implementing best practices to enhance Design and track key performance indicators (KPIs) to measure project success and strategic impact
• Prepare regular status updates, executive briefings, and analytical reports for the Managing Director and leadership team
• Conduct post-project evaluations to capture lessons learned, measure outcomes against objectives, and recommend continuous improvements
• Maintain a portfolio view of all special projects, identifying interdependencies, resource conflicts, and strategic priorities
• Provide data-driven insights and recommendations to inform course corrections and optimize project outcomes

Stakeholder Engagement and Communication

• Serve as the point of contact for special projects, managing communications with internal stakeholders and external partners
• Facilitate workshops, planning sessions, and collaborative meetings to gather requirements and build consensus
• Prepare presentations, briefing materials, and communication plans for executive and board-level audiences
• Build and maintain relationships with key stakeholders including board members, donors, government representatives, and partner organizations
• Represent the MD's Office in project-related meetings and working groups as required

Innovation and Organizational Development

• Identify opportunities for process improvements, operational efficiencies, and innovative approaches to achieving strategic goals
• Collaborate with artistic leadership on special programming initiatives, cultural diplomacy projects, and audience engagement strategies
• Contribute to organizational capacity building by developing project management frameworks, templates, and best practices
