About this role
- Submit invoices to clients at the beginning of every month.
- In coordination with Accounts Manager, collect and deposit cheques, payment transfers, cash withdrawal etc.
- Manage the lease and maintenance of vehicles.
- Arrange for machinery rental from subcontractors for projects.
- Assign drivers’ duties and responsibilities on daily basis and designate & review vehicle assignments.
- Monitor and supervise the drivers and their routes through daily check-up of GPS.
- Submit a monthly report to Management about driver’s activities and highlight any irregularities or issues.
- Co-ordinate with PM and/or Supervisors and confirm the deployment of manpower transportation, equipment, and vehicles to projects as per request and requirement.
- Fill fuel cards and hand to drivers and reconcile fuel expenses with accounts at the end of each month.
- Monitor fuel consumption and address any issues; manage fuel cards movement to users.
- Obtain the best quotations from various car rental companies and discuss with management to finalize.
- Maintain an updated drivers’ and vehicles’ record including fines, accidents, maintenance, logo branding, etc.
- Arrange and coordinate with procurement for supply of company tools and equipment to sites and their demobilization to company’s store.
- Continuously focus on achieving maximum efficiency of equipment and machines.
- Maintain and manages fleet inventory files.
- Tracking and payment of violations (red light, parking, toll, etc.)
- Ensure operators of vehicles receive proper instruction and refresher training to prevent accidents, injuries, damage, and misuse of vehicles.
- Provides Incident Management Assistance; including but not limited to vehicle repair/replace.
- Follow and implement the Department procedures, Company’s Quality/HSEM/ISM Procedures as applicable.
- Interacts with Division Head – Shared Resources and other Department Managers and personnel at various levels frequently.
- Maintain healthy & safe environment at the workplace.
- Follow the rules and regulation according to the company policy.
- Occupational and workplace Health and Safety responsibilities:
- In addition to all job-specific responsibilities, all employees are required to adhere to all Basatin health, safety and environmental (HSE) policies, procedures, practices, and relevant legal and statutory health, safety and environmental requirements and obligations.
- All employees are personally responsible to familiarize themselves with these policies, procedures, practices, updates, etc.
- Khidmah HSE department regularly updates existing and introduce new policies, procedures, and practices and each employee is personally responsible to ensure they stay updated and compliant with all such updates and new additions.
- Information Security responsibilities:
- Comply with Basatin Information Security Policies
- Be aware of and fulfil their information security responsibilities
- Ensure whoever handles sensitive company information have taken the Security Awareness Training
- Know how to report a security incident (to IT ServiceDesk or InfoSec).
- Not Disable his/her OS firewall and/or Antivirus
- Restrict use to authorized purposes, Protect access accounts, privileges and associated passwords.
- Accept accountability of his/her individual user accounts, and maintain confidentiality
Qualifications
Bachelor Degree in related field
Landscaping Industry Experience
Outstanding analytical, problem-solving, and organizational abilities
