Shipping and Procurement Officer – Job Description

Job Summary

The Shipping and Procurement Officer is responsible for managing the procurement process, coordinating local and international shipments, following up with suppliers and freight forwarders, and ensuring timely delivery of materials for projects and trading activities.

Procurement Duties

  • Source materials, equipment, and services from approved local and international suppliers.
  • Obtain and evaluate quotations based on technical specifications, delivery time, and cost.
  • Prepare purchase orders and ensure all procurement documents are properly maintained.
  • Negotiate prices, payment terms, and delivery schedules with suppliers.
  • Follow up with suppliers to ensure on-time delivery of materials.
  • Maintain and update supplier databases and approved vendor lists.
  • Coordinate with engineering and project teams to ensure compliance with technical requirements.
  • Monitor stock levels and coordinate with the storekeeper to maintain optimum inventory.

Shipping & Logistics Duties

  • Coordinate local and international shipments (air, sea, and land freight).
  • Liaise with freight forwarders, shipping lines, customs brokers, and transport companies.
  • Arrange import and export documentation, including:
  • Commercial Invoice
  • Packing List
  • Bill of Lading / Air Waybill
  • Certificate of Origin
  • Insurance Documents
  • Delivery Orders
  • Track shipments and provide regular updates to management and project teams.
  • Coordinate customs clearance and ensure compliance with UAE regulations.
  • Resolve shipping delays, customs issues, and logistics-related problems.
  • Verify shipping costs and freight invoices.

Documentation & Reporting

  • Maintain complete records of procurement and shipping transactions.
  • Prepare procurement and shipment status reports.
  • Ensure all documents are properly filed electronically and physically.
  • Update ERP/Zoho systems with procurement and logistics information.

Qualifications

  • Bachelor’s degree or Diploma in Supply Chain Management, Logistics, Business Administration, or related field.
  • Minimum 3 years of experience in procurement and logistics, preferably in the electromechanical, water, or construction industry.
  • Experience in international shipping and import/export procedures.
  • Knowledge of UAE customs procedures and Incoterms.

Required Skills

  • Strong negotiation and communication skills.
  • Excellent organizational and multitasking abilities.
  • Good knowledge of MS Office applications, especially Excel.
  • Experience with ERP systems such as Zoho Books or similar software.
  • Ability to work under pressure and meet deadlines.
  • Fluency in English; Arabic is an advantage.

Preferred Experience

  • Experience in pumps, valves, irrigation, MEP, or water infrastructure projects.
  • Familiarity with suppliers and freight forwarders in China, Turkey, Spain, and UAE.
  • Knowledge of DDP, CIF, FOB, EXW, and other international trade terms.
