Position Summary

The Senior Sales Coordinator – Export Sales is a critical role responsible for managing the end-to-end coordination of export orders, with a strong focus on African markets.

The role requires extensive experience in chemical export documentation, logistics coordination, customs and shipping procedures, customer communication, and close collaboration with internal stakeholders.

The ideal candidate must possess a deep understanding of international trade, hazardous and non-hazardous chemical shipments, Incoterms, Letters of Credit, and the logistics challenges associated with shipping to African countries.

The incumbent should proactively monitor order progress, identify potential delays, and coordinate effectively to ensure timely delivery and customer satisfaction.

Export Sales Coordination

  • Manage the complete order cycle from receipt of customer purchase orders through final delivery and post-shipment follow-up.
  • Prepare and process quotations, sales orders, proforma invoices, and commercial documentation.
  • Coordinate export shipments to African and other international markets.
  • Monitor order status and provide timely updates to customers and the sales team.
  • Ensure compliance with customer-specific requirements, payment terms, and contractual obligations.

Export Documentation

  • Prepare and review:
  • Commercial Invoices
  • Packing Lists
  • Certificates of Origin
  • Bills of Lading / Air Waybills
  • Insurance Certificates

• Dangerous Goods Declarations

  • Certificates of Analysis (COA)

• Safety Data Sheets (SDS)

  • Inspection Certificates
  • Manage document legalization and chamber attestation where required.
  • Ensure document accuracy for customs clearance and banking purposes.

African Market Coordination

  • Coordinate shipments to countries across Africa, including understanding:
  • Import regulations and documentation requirements
  • Port and customs procedures
  • Inspection and pre-shipment requirements
  • Local logistical challenges and transit times
  • Liaise with freight forwarders, shipping lines, and local agents to resolve clearance and delivery issues.
  • Track country-specific developments affecting shipment timelines and costs.

Logistics And Shipping Coordination

  • Coordinate with logistics teams for sea, air, and road shipments.
  • Monitor vessel schedules, container bookings, and transit milestones.
  • Understand and manage shipment modes involving drums, IBCs, isotanks, and bulk tankers.
  • Ensure compliance with dangerous goods regulations, including IMDG and IATA requirements.
  • Identify and escalate issues related to demurrage, detention, customs delays, and port congestion.

Banking And Trade Finance

  • Handle export transactions involving Letters of Credit (LC), CAD, and advance payments.
  • Review LC terms and coordinate compliant documentation.
  • Work closely with finance to ensure timely invoicing and payment collection.

Customer And Internal Coordination

  • Act as the key coordination point between customers and internal departments such as procurement, logistics, finance, technical, and regulatory teams.
  • Maintain strong relationships with customers and respond promptly to inquiries.
  • Coordinate with technical teams to obtain product specifications and certificates.

Reporting And Data Management

  • Maintain accurate records in ERP systems such as SAP S/4HANA.
  • Generate reports on order status, shipment performance, and quotation conversion.
  • Analyze bottlenecks and recommend process improvements.

Required Qualifications

  • Bachelor’s degree in Commerce, Business Administration, International Trade, Logistics, or a related field.
  • Professional certifications in export documentation, shipping, or logistics are an advantage.

Experience Requirements

  • Minimum 10 years of experience in export sales coordination.
  • At least 5 years of experience in the chemical distribution or manufacturing industry.
  • Proven experience handling exports to African countries.
  • Strong knowledge of international shipping, customs procedures, and export documentation.
  • Experience coordinating hazardous chemical shipments.

Technical Knowledge And Skills

  • Export documentation and international trade procedures.
  • Incoterms 2020.
  • Letters of Credit and trade finance documentation.
  • Chemical logistics, including drums, IBCs, isotanks, and bulk shipments.
  • Dangerous goods regulations (IMDG, IATA).
  • Microsoft Excel and reporting tools.
  • ERP systems, preferably SAP S/4HANA.
  • Customer relationship and order management systems.
  • Pay: AED6,000.00 - AED7,000.00 per month

Experience

  • in the chemical distribution or manufacturing industry: 5 years (Required)
  • Proven experience handling exports to African countries: 5 years (Required)
