Role Overview
Avanty Capital is seeking a Senior Executive Assistant and Coordinator to provide high calibre support to the firm's senior principals and to anchor the day to day running of the Dubai office.
This is a senior, trusted position suited to a candidate who is comfortable operating at pace within a small and demanding principal investment environment, and who can hold confidential information with complete discretion.
The successful candidate will combine first class organisational ability with sound commercial judgement, acting as a central point of coordination across diaries, travel, correspondence and transaction support.
The role offers direct exposure to live transactions and the opportunity to shape the running of the Dubai office.
Key Responsibilities
- Executive and personal support
- Manage complex and frequently changing diaries across multiple time zones, prioritising commitments and resolving conflicts proactively.
- Coordinate domestic and international travel, including flights, visas, accommodation, ground transport and detailed itineraries.
- Prepare and format correspondence, briefing notes, presentations and meeting papers to an institutional standard.
- Handle selected personal and household administration as required, including liaison with third party providers.
- Office coordination and administration
- Act as the central point of contact for the Dubai office, managing visitors, suppliers and facilities.
- Maintain filing, records and document management systems with accuracy and confidentiality.
- Process expenses, invoices and basic bookkeeping inputs, and liaise with finance and external advisers.
- Oversee general office operations and the ordering of supplies.
- Communications and stakeholder liaison
- Screen and manage incoming calls, emails and correspondence, exercising judgement on prioritisation and response.
- Liaise with counterparties, lenders, solicitors, valuers and other professional advisers in a polished and professional manner.
- Draft and proofread written communications on behalf of the principals.
- Meeting and transaction support
- Organise meetings, calls and conferences, including agendas, supporting materials and minutes.
- Provide support to live transactions, including collating documents, tracking action points and maintaining deal checklists.
- Maintain strict confidentiality on all commercially sensitive matters.
Essential
- A minimum of three years' experience in a senior executive assistant, personal assistant or coordinator role, ideally within financial services, real estate, professional services or a comparable high performance environment.
- English as a first language, or full professional fluency in written and spoken English.
- Excellent IT skills, including a high level of proficiency across Microsoft Office (Outlook, Word, Excel and PowerPoint), with confidence using collaboration, scheduling and document management tools.
- Proven ability to manage complex diaries, travel and competing priorities without supervision.
- Strong written communication skills, with a keen eye for accuracy, formatting and presentation.
- The right to work in the United Arab Emirates, or eligibility to be sponsored.
Desirable
- Experience supporting senior principals or C suite executives within an investment, banking or family office setting.
- Working knowledge of Arabic.
- Familiarity with the Dubai business environment and professional services landscape.
- A valid UAE driving licence.
