You
will support Sales, Projects, Operations, and Finance teams by managing sales orders, project documentation, invoicing, reporting, and VAT compliance.
The role ensures smooth execution of end-to-end sales administration processes within UAE regulatory and commercial standards.
Sales & Customer Administration
- Process sales orders from customer LPOs across Decorative and Protective divisions
- Follow up on pending LPOs and coordinate with sales teams and customers
- Manage credit notes, invoice reversals, and cash orders
- Support credit control with outstanding follow-ups and collections coordination
Project & Order Management
- Create and maintain project records in the ERP system
- Raise project POs and invoices as per contract terms
- Track material consumption and prepare transfer order reports
- Maintain contracts, LOIs, tax invoices, and project documentation
Documentation & Reporting
- Prepare technical submittals and customer documentation
- Maintain sales records, credit applications, and audit-ready files
- Prepare daily flash reports and support finance reporting requirements
- Maintain marketing collateral inventory
Samples & Inventory
- Manage sampling requests (dry/wet samples) via sampling portal
- Prepare FOC movement journals and allocate costs accordingly
Finance, Cash & Compliance
- Ensure VAT-compliant invoicing and maintain tax records
- Support VAT return documentation and external audits
- Coordinate cash collection and bank deposits with drivers and finance
- Liaise with finance on reporting and documentation needs
Requirements
- Bachelor’s degree in Business, Commerce, Finance, or related field
- Minimum 3 years UAE experience in Sales Administration / Sales Coordination
- Strong ERP experience (D365, AX, SAP, Odoo, Oracle, or similar)
- Good understanding of UAE VAT and invoicing processes
- Advanced Excel and strong documentation skills
- Excellent coordination and communication skills
