Overview

Position : Sales Administration Associate (Best Spirits Hong Kong office)

Role & Responsibilities

  • Direct sales shipment
  • Coordinate Hong Kong shipments between customers and breweries.
  • Coordinate Sales contract between sales teams and customers to ensure that all necessary documentation is properly executed.
  • Responsible for placing PO to breweries and invoicing to customers.
  • Review and verify all the information on shipping documents for customs clearance and customs declaration
  • Conduct Sanction Checking to ensure compliance with regulations.
  • Pursuing and obtain all import documents for Hong Kong customs.
  • Prepare and maintain Hong Kong shipment status for management review.
  • Manage complaints from Hong Kong customers with quality assurance department of the breweries
  • Review of the weekly stock report

Sales Operations Support

  • Process sales orders accurately and timely in the ERP system.
  • Coordinate order fulfillment with warehouse, logistics, and customer service teams.
  • Monitor order status and ensure timely delivery to customers.
  • Handle customer enquiries related to orders, deliveries, pricing, and product availability.
  • Ensure compliance with company policies, procedures, and internal controls.
  • Maintain proper filing and documentation of sales-related records.

Qualifications

  • High school education
  • 2 - 3 years of relevant experience in Sales administration, customer service, or commercial operations field.
  • Experience in Hong Kong FMCG Export business will be added advantage
  • SAP Knowledge will be advantage
  • Basic knowledge in financial documentations (invoicing, credit notes, purchase orders etc.).
  • Strong understanding of sales processes from data entry to delivery and invoicing.
