About This Role

Job Scope

As a Rooms Coordinator, you will play a key role in supporting the rooms division department by coordinating activities related to reservations, room assignments, guest services, and housekeeping.

Your responsibilities include managing room inventory, assisting guests with inquiries and requests, and ensuring the smooth operation of room-related services to enhance guest experiences and optimize room revenue.

Reservations Management

  • Handle room reservations, cancellations, and modifications, ensuring accuracy, availability, and adherence to reservation policies.
  • Coordinate with the reservations team, monitor booking trends, and adjust room inventory to maximize occupancy levels and revenue.

Room Assignments and Inventory Control

  • Manage room allocations, room assignments, and guest requests to optimize room utilization and enhance guest satisfaction.
  • Maintain accurate room inventory records, update room statuses, and coordinate with housekeeping for room readiness and turnaround.

Guest Services Support

  • Assist guests with inquiries, requests, and special preferences, providing personalized service and ensuring guest needs are met promptly.
  • Address guest concerns, resolve issues, and escalate matters as necessary to maintain high levels of guest satisfaction.

Housekeeping Coordination

  • Collaborate with the housekeeping team to prioritize room cleaning schedules, manage room statuses, and ensure timely turnaround of guest rooms.
  • Communicate guest requests, special instructions, and room status updates to housekeeping staff for efficient room preparation.

Operational Support

  • Support the Rooms Manager or Director of Rooms in daily operations, administrative tasks, and coordination with other departments to ensure seamless room division services.
  • Assist in maintaining service standards, quality control, and compliance with brand guidelines and operational procedures.

Revenue Optimization Assistance

  • Work closely with the revenue management team to monitor room rates, occupancy levels, and revenue performance, providing insights and support in revenue optimization strategies.
  • Assist in implementing upselling initiatives, promotional offers, and distribution channel management to maximize room revenue.

Guest Communication and Feedback

  • Communicate proactively with guests before, during, and after their stay to confirm reservations, address preferences, and gather feedback on their experience.
  • Collect guest feedback, reviews, and suggestions, and assist in implementing service improvements to enhance guest satisfaction and loyalty.
  • To ensure that the use new technology and equipment is explored and implemented wherever appropriate
  • Implement and promote sustainable practices in daily tasks, focusing on reducing waste, saving energy, and using resources efficiently.

Skills

A Rooms Coordinator requires strong organizational, communication, and time management skills to manage room assignments and coordinate with various hotel departments.

They must have attention to detail to ensure guest requests and preferences are accurately recorded and fulfilled.

Problem-solving abilities are important for handling any issues that arise with room assignments or guest accommodations.
