About This Role

Overview

We are seeking a

Remote Administrative Personal Assistant

to provide dedicated support to busy professionals by managing both administrative and personal responsibilities with efficiency and discretion.

This role is ideal for someone who is highly organized, dependable, and comfortable handling a variety of tasks that help streamline daily operations.

In this position, you will assist with scheduling, communication management, and coordination of both professional and personal activities.

Your ability to stay organized, anticipate needs, and maintain confidentiality will allow the individual you support to focus on high-priority responsibilities while ensuring everything runs smoothly in the background.

1) Calendar and Scheduling Management

  • Manage and maintain calendars, including professional and personal commitments
  • Schedule appointments, meetings, and reservations
  • Send reminders and ensure schedules remain organized and up to date
  • Coordinate across time zones and manage scheduling conflicts

2) Communication and Correspondence

  • Manage emails, messages, and calls, prioritizing when necessary
  • Draft and respond to correspondence on behalf of the employer
  • Maintain organized contact lists and communication records
  • Coordinate with external contacts, vendors, and service providers

3) Travel and Logistics Coordination

  • Research and book travel arrangements including flights and accommodations
  • Prepare detailed itineraries and travel plans
  • Coordinate transportation and reservations for smooth travel experiences

4) Administrative and Personal Support

  • Organize documents, files, and personal records
  • Assist with bill payments, expense tracking, and basic administrative tasks
  • Manage online purchases, subscriptions, and deliveries
  • Support personal errands or requests as needed

5) Task Coordination and Organization

  • Track ongoing tasks and ensure timely completion
  • Maintain structured systems for managing information and responsibilities
  • Assist with personal projects, events, or special arrangements
  • Ensure all tasks are documented and followed through

Required Skills and Qualifications

  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • High level of discretion and ability to handle confidential information
  • Ability to multitask and manage competing priorities
  • Comfortable using digital tools, calendars, and communication platforms
  • Proactive mindset with strong problem-solving abilities
  • Reliable, self-motivated, and able to work independently
  • Previous experience in administrative or personal assistant roles is a plus
