Job Description The Receptionist II position is a crucial role within our organization, serving as the first point of contact for clients and visitors. As a Receptionist II, you will manage the front desk operations, support multiple departments with administrative tasks, and ensure a seamless experience for all who enter our offices. Responsibilities
- Greet visitors and determine the nature of their visit to provide assistance.
- Manage incoming calls with professionalism and direct them to appropriate departments.
- Maintain and organize the reception area to ensure a tidy environment.
- Assist with scheduling meetings, including reserving rooms and preparing materials.
- Handle incoming and outgoing mail and deliveries efficiently.
- Maintain security by following procedures and monitoring the logbook.
- Provide information and respond to inquiries from clients and visitors.
- Coordinate with internal staff to ensure smooth operations and communication.
- Assist in the preparation of reports and presentations as required.
- Update appointment calendars and schedule meetings to manage time effectively.
- Perform general administrative duties such as filing, scanning, and data entry.
- Support special projects and events with coordination and logistical tasks.
Requirements
- High school diploma or equivalent; additional certification is a plus.
- Minimum of 2 years of experience in a receptionist or administrative role.
- Excellent verbal and written communication skills are mandatory.
- Proficient in Microsoft Office Suite and ability to learn new software quickly.
- Strong organizational skills with attention to detail and multitasking abilities.
- Customer service orientation with a professional and courteous demeanor.
- Ability to maintain confidentiality and handle sensitive information appropriately.
