We are seeking a highly professional, emotionally intelligent, and service-oriented Receptionist to join our team and serve as the first point of contact for our clients and their pets.

Role Summary

The Receptionist plays a key role in managing client experience, pet healthcare and pet hotel flow, and front-desk operations within a fast-paced veterinary clinical environment.

This is not just an administrative role — it requires strong emotional intelligence, professionalism under pressure, attention to detail, and a genuine commitment to animal welfare and service excellence.

1. **Client Experience & Front Desk Management**

  • Greet clients in a professional, calm, and welcoming manner

  • Manage phone calls, WhatsApp messages, emails, and inquiries
  • 4.
  • Schedule, confirm, and coordinate appointments efficiently
  • 5.
  • Provide accurate information about services and procedures

  • Ensure every client interaction reflects professionalism and care

7. **Clinical Coordination Support**

  • 8.
  • Coordinate between veterinarians, nurses, groomers, and clients
  • 9.
  • Manage patient flow and appointment prioritization
  • 10.
  • Provide empathetic updates to clients regarding hospitalized pets
  • 11.
  • Support smooth daily pet healthcare and pet hotel operations and reduce waiting times
  • 12. **Administrative Excellence**

  • Maintain accurate client and patient records
  • 14.
  • Ensure proper documentation, filing, and data entry
  • 15.
  • Support reception systems, emails, and administrative coordination
  • 16.
  • Maintain high standards of organization and accuracy

17. **Billing & Financial Processing**

  • Process invoices, payments, and receipts accurately
  • 19.
  • Maintain transaction records and financial documentation
  • 20.
  • Support basic reporting and bookkeeping tasks
  • 21.
  • Ensure transparency and accuracy in all transactions
  • 22. **Pet Healthcare & Pet Hotel Environment & Service Standards**
  • 23.
  • Maintain a clean, calm, and professional reception area
  • 24.
  • Ensure clients and pets feel safe and supported
  • 25.
  • Uphold pet healthcare and pet hotel standards in communication and behaviour
  • 26.
  • Promote a culture of teamwork and service excellence

27. **Inventory & Vendor Coordination**

  • 28.
  • Receive and verify deliveries, including expiry checks
  • 29.
  • Maintain stock records and system updates
  • 30.
  • Support product display and basic retail coordination
  • 31.
  • Assist with promotions when required

Requirements

  • Previous experience in reception, customer service, or front desk roles
  • Fluent in Arabic (spoken and written) and strong English communication skills
  • Ability to remain calm and professional under pressure
  • Strong organizational and multitasking skills
  • Proficiency in MS Office and communication tools
  • Experience in veterinary, medical, healthcare, hospitality, or premium service environments is an advantage
  • Female candidate preferred for client-facing role
