Job Summary
The Receptionist is the first point of contact for pet parents and visitors at our pet boarding facility.
This role is responsible for delivering exceptional customer service, managing reservations, handling administrative duties, and ensuring smooth front-desk operations.
The ideal candidate is friendly, organized, detail-oriented, and passionate about animals.
Key Responsibilities : Customer Service
- Greet pet parents warmly and professionally.
- Answer phone calls, emails, and online inquiries promptly.
- Provide accurate information about boarding services, pricing, policies, and availability.
- Address client questions and resolve concerns in a calm, courteous manner.
Reservations & Scheduling
- Book, confirm, modify, and cancel boarding reservations.
- Maintain accurate pet records including vaccination status and special care instructions.
- Coordinate check-in and check-out processes efficiently.
- Update scheduling software and maintain daily boarding lists.
Administrative Duties
- Process payments, invoices, and receipts.
- Maintain organized client files and digital records.
- Monitor inventory of front-desk supplies.
- Assist with reports and basic bookkeeping tasks.
Pet Intake & Care Coordination
- Verify vaccination records and required documentation.
- Record feeding schedules, medications, and special instructions.
- Communicate pet-specific needs to kennel staff and caregivers.
- Ensure accurate identification of pets upon arrival and departure.
Facility Support
- Maintain a clean, welcoming reception area.
- Promote additional services such as grooming, daycare, or training.
- Support team members during busy periods.
Required Qualifications
- Graduation or equivalent.
- Previous receptionist, front desk, or customer service experience preferred.
- Comfortable working around dogs, cats, and other pets.
- Basic computer skills and familiarity with scheduling software.
- Excellent communication and organizational skills.
Preferred Skills
- Experience in veterinary clinics, pet boarding, grooming, or animal care environments.
- Ability to multitask in a fast-paced setting.
- Strong attention to detail (especially regarding pet health records).
- Friendly, patient, and compassionate personality.
Working Conditions
- Indoor front-desk environment within a pet facility.
- Exposure to pet hair, odors, barking, and occasional pet accidents.
- May require weekend, holiday, or peak-season availability.
