Position Overview
We are seeking a charismatic, highly organized, and proactive **Studio Coordinator / Receptionist** to be the face and operational backbone of our studio.
In this role, you will bridge the gap between our clients and instructors, ensuring that every person who walks through our doors or interacts with us digitally receives a seamless, premium experience.
This is a strictly **administrative, operations, and customer-support-focused role** (no hard sales KPIs).
The ideal candidate thrives in a fast-paced environment, effortlessly moving from welcoming clients and managing bookings to keeping our digital CRM workflows running smoothly.
Key Responsibilities
- **Client Communication & Hospitality:** Act as the primary point of contact via phone, WhatsApp, and email. Welcome clients warmly, manage inquiries with a premium service mindset, and maintain a pristine front-of-house environment.
- **Booking & Schedule Management:** Coordinate daily session bookings, manage waitlists, optimize class occupancy, and handle cancellations or rescheduling requests efficiently using our studio software.
- **Lead Nurturing & Follow-Up:** Monitor and manage client communications, proactively following up on missed sessions, trial classes, and general client check-ins to ensure high retention.
- **Payment Processing:** Handle day-to-day point-of-sale (POS) transactions, process packages/memberships through digital payment gateways, and manage basic billing queries.
- **Instructor Support:** Support instructors with daily attendance tracking, communicate real-time scheduling changes, and ensure the studio flow is seamless between consecutive sessions.
Shift Structure & Work Schedule
- **Hours:** 9 hours per day, 6 days a week.
- **Shifts:** Flexibility to rotate between Morning and Evening shifts during weekdays.
- **Weekends:** Morning shifts only.
Requirements & Qualifications
- **Experience:** Minimum 1–2 years of experience in front-of-house reception, hospitality, or customer care. **Previous experience within the boutique fitness or wellness industry is a strong plus.**
- **Technical Aptitude:** Strong digital literacy. You will be trained on our primary systems—**Schedule House** and **GoHighLevel (GHL)**—as well as our payment gateways, but a quick learning curve and comfort with modern software are required.
- **Languages:** **English (Fluent/Native level) is a strict requirement.** Arabic is a highly valued "nice-to-have" asset.
- **Attributes:** Exceptional communication skills, strong multitasking abilities, punctuality, and a warm, supportive personality that aligns with a high-end wellness brand.
