We are seeking a highly organized and detail-oriented having a minimum of **4 years experience** as **Real Estate Admin** to support our real estate office with day-to-day administrative tasks.
This role plays a crucial part in ensuring smooth operations, supporting agents, maintaining compliance, and enhancing client service.
Administrative Support
- Manage and organize real estate documents, contracts, and client files
- Prepare listing agreements, buyer representation agreements, and other real estate documents
- Coordinate schedules, meetings, and property showings
- Maintain office supplies, records, and CRM systems
Client & Agent Communication
- Serve as the first point of contact for client inquiries (phone, email, in-person)
- Support real estate agents with transaction coordination and communication
- Follow up with clients and vendors as needed
Listing & Marketing Assistance
- Input property listings into portals and company websites
- Coordinate photography, signage, and property brochures
- Manage social media posts and marketing campaigns for listings and company branding
Transaction Coordination
- Track and manage deadlines for buyer and seller transactions
- Ensure all paperwork is accurate, complete, and submitted on time
- Liaise with title companies, lenders, and clients to ensure smooth closings
Compliance & Reporting
- Ensure all files comply with legal, regulatory, and brokerage requirements
- Maintain accurate data for reporting, including closings, leads, and marketing ROI
Qualifications
- 4 years experience in real estate administrative support preferred
- Excellent communication and organizational skills
- Proficient with Microsoft Office Suite, Google Workspace, and CRM software (e.g., Salesforce, Follow Up Boss)
- Knowledge of real estate software (e.g., MLS, Dotloop, DocuSign, ZipForms) is a plus
- Ability to multitask and meet deadlines in a fast-paced environment
- High school diploma or equivalent required; college degree preferred
