Role Description
We are looking for a detail-oriented and proactive Real Estate Admin to join our growing team in Dubai.
In this role, you will be the backbone of our listings operations — ensuring our properties are accurately represented across all major platforms and that all regulatory requirements are met in a timely manner.
Listings Management
- Create, publish, and manage property listings on the company website and major portals including Bayut and Property Finder.
- Ensure all listings are accurate, up to date, and compliant with platform guidelines and RERA regulations.
- Upload high-quality photos, floor plans, and property descriptions for each listing.
- Monitor listing performance and coordinate with agents to refresh or update listings as needed.
- Promptly deactivate or archive sold/leased properties across all platforms.
DLD QR Code & Compliance
- Obtain and manage Dubai Land Department (DLD) permit numbers and QR codes for each property listing as required by UAE regulations.
- Ensure every active listing on Bayut, Property Finder, and the company website displays a valid DLD QR code.
- Track permit expiry dates and proactively renew permits to maintain compliance.
- Liaise with agents and relevant authorities to resolve any compliance issues relating to listing permits.
General Administration
- Maintain an organised internal database of all active, pending, and closed listings.
- Coordinate with the sales and leasing teams to gather property information and documentation.
- Assist in preparing marketing materials, brochures, and property reports.
- Handle general administrative tasks related to listings and property management as required.
Requirements
- Proven experience in a real estate administrative or listings management role.
- Hands-on experience with Bayut and/or Property Finder portals.
- Solid understanding of DLD listing permit and QR code requirements.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail with excellent organisational and time-management skills.
- Ability to manage multiple listings simultaneously and meet deadlines.
- Strong written and verbal communication skills in English; Arabic is an advantage.
- Nice to have
- Familiarity with the Dubai real estate market, including key areas, project types, and market trends.
- Knowledge of RERA regulations and the Real Estate Regulatory Agency's requirements.
- Experience using property CRM software (e.g., Propspace, Masterkey, or similar).
- Prior experience working within a UAE-based real estate agency or brokerage.
- Understanding of off-plan vs. secondary market properties.
