Overview
The Public Relations Officer (PRO) is responsible for creating and keeping all the legal required documents related with the operations and responsible for processing and carrying out all transactions related to visas, permits, licenses, registration of employees, liaising with various Government Departments and Agencies, supporting all the legal staff related matters, taking the ownership of its processing and renewals and also supporting the HR & Admin department with other duties as per the requests.
Main Duties and Responsibilities
- Policy and Regulatory Updates:
- o Keep the HR office informed of any changes to policies and processes.
- o Gather information and provide updates on labor laws, immigration regulations, and various government offices regularly.
- Business and Trade License Management
- :
- o Ensure that all business and trade licenses are kept up to date and renewed as required.
- o Follow up on official approvals and permits to prevent unnecessary violations.
- Representation:
- o Represent the company at different offices such as Labour office, immigration department, Airports, Embassies, Police Stations, Ministries, Municipalities, and other Government Departments as needed.
- General Enquiries:
- o Respond to and deal promptly and productively with general enquiries about PRO functions.
- Vehicle Registration
- :
- o Assist the office in determining and resolving any issues related to organization vehicle registration, renewals and cancellations.
- HR Support:
- o Provide information and support to the HR department by recommending best practices to expedite residency permits.
- o Assist in other HR tasks, including medical insurance, NOC letters etc…
- Legal Documentation:
- o Assist in drafting and finalizing POAs, MOAs, and side agreements.
- o Understand and manage various registration requirements at local courts.
- Visa and Work Permits:
- o Prepare and process all necessary documentation for end-to-end free zone and mainland visa procedures, including employment and visit visas, work permits, and cancellations, covering but not limited to Emirates ID applications, medical screenings, Tawjeeh sessions, and related requirements.
- Coordination:
- o Coordinate with local PRO and internal departments to facilitate the timely processing of documents and applications.
- Financial Management:
- o Handle petty cash and collect bank statements, audit files, and legal contracts from banks and various authorities.
- Visa Scheduling for other country visas:
- o Schedule appointments related to the US, UK, Canada, Turkey, Singapore, and Schengen countries visa processes.
- o Ensure all business visas are handled and processed on time.
- Compliance Management:
- o Manage all free zones, mainland portals for renewals, new company formations, and deregistration.
- o Oversee compliance with Municipality, DMCC, JAFZA, DHA, MOH, TRC, Customs, GDRFA, MOHRE, DCD, RTA, Salik, Darb, Etisalat, DSP, DMCC, Saifzone, and DWC regulations.
- Additional Tasks
- :
- o Perform any other tasks as per business needs or as assigned by the supervisor.
- o Ensure compliance with all relevant laws, regulations, and policies.
