Overview
We are seeking a highly organized and detail-oriented **Project Secretary** to provide administrative and document control support for **Oil & Gas projects**.
The successful candidate will be responsible for managing project correspondence, maintaining records, coordinating meetings, and supporting project teams to ensure smooth and efficient project execution.
Key Responsibilities
- Provide administrative and secretarial support to the Project Manager and project team.
- Prepare, format, and maintain project correspondence, reports, presentations, and meeting minutes.
- Manage incoming and outgoing project documents, letters, transmittals, and emails.
- Maintain an organized filing system for project records, drawings, and documentation.
- Coordinate meetings, appointments, travel arrangements, and project-related logistics.
- Track document submissions, approvals, and project deliverables to ensure timely follow-up.
- Assist in preparing monthly reports, progress updates, and project presentations.
- Maintain confidentiality of project information and company records.
- Coordinate with clients, subcontractors, suppliers, and internal departments regarding administrative matters.
- Support onboarding and mobilization of project personnel, including documentation and records management.
- Monitor office supplies and ensure smooth day-to-day administrative operations.
- Ensure compliance with company procedures and project documentation requirements.
Requirements
- Diploma or Bachelor's Degree in Business Administration, Office Management, or a related field.
- Minimum **3–5 years of experience** as a Project Secretary, Administrative Assistant, or similar role in Oil & Gas, EPC, construction, or industrial projects.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
- Strong document management and organizational skills.
- Excellent written and verbal communication skills in English.
- Ability to manage multiple tasks and meet deadlines in a fast-paced project environment.
- Strong attention to detail and ability to maintain confidentiality.
- Pay: AED4,000.00 - AED5,000.00 per hour
