Villani Landshapers is seeking a

Project Administrator

to support our commercial landscape construction team by keeping projects organized, on schedule, and on budget.

This is a

primarily office-based role

, ideal for someone who enjoys coordinating people, paperwork, schedules, and logistics behind the scenes to ensure successful project delivery.

If you're motivated to learn and grow, this position can provide a

clear pathway to a Project Manager or similar advancement role within approximately 2–3 years

.

Requirements

As a Project Administrator, you'll work closely with our Project Managers and internal teams to help keep projects moving efficiently from kickoff to closeout.

Responsibilities Include

  • Coordinating with Project Managers, Operations, Designers, and Foremen
  • Reviewing contracts and project plans to support material ordering and scheduling
  • Preparing work orders, change orders, project documentation, and field paperwork
  • Monitoring job costs and assisting with project financial reporting
  • Managing submittals and helping prepare as-built documentation
  • Supporting warranty claims and project closeout activities
  • Creating reports and assisting with final job cost analysis
  • Communicating proactively with clients, vendors, and team members
  • Identifying opportunities to improve processes and efficiency
  • Participating in winter snow operations as needed
  • This Role Is a Great Fit If You…
  • Have have a strong eye for administrative detail and at least 1 year of admin-related experience (any experience in the landscape or construction industries is an added bonus!)
  • Enjoy and excel at organization, planning, and keeping multiple priorities on track
  • Are comfortable working in an office environment while collaborating with field operations
  • Have strong communication and customer service skills
  • Are proficient with Microsoft Office and eager to learn new software
  • Think critically, solve problems, and take initiative
  • Want to build a long-term career with opportunities for advancement
