Overview

Job Title: Project Administrator – Commercial, Interior & Fit-OutJob Summary

The Project Administrator is responsible for providing administrative and coordination support to the Project Manager and project team to ensure the smooth execution of commercial, interior fit-out, and renovation projects.

The role involves document control, project coordination, client communication, procurement support, and maintaining project records in compliance with company standards and project requirements.

Project Coordination

  • Assist Project Managers in planning, organizing, and monitoring project activities.
  • Coordinate with clients, consultants, subcontractors, suppliers, and internal departments.
  • Schedule meetings, prepare agendas, and record meeting minutes.
  • Follow up on action items and ensure timely completion of assigned tasks.

Document Control

  • Maintain and update project documentation, including contracts, drawings, permits, approvals, and correspondence.
  • Ensure proper filing and tracking of all project-related documents.
  • Manage document submissions, transmittals, RFIs, material approvals, and shop drawings.
  • Maintain accurate records of project revisions and updates.

Commercial & Contract Administration

  • Support the preparation of project progress reports and payment applications.
  • Monitor project budgets, variations, and commercial documentation.
  • Assist in preparing subcontract agreements and maintaining contract records.
  • Track project invoices, payments, and cost-related documents.

Site & Operations Support

  • Coordinate site access requirements, permits, and workforce documentation.
  • Maintain records of manpower deployment and attendance when required.
  • Support project teams in mobilization and demobilization activities.

Reporting

  • Prepare weekly and monthly project status reports.
  • Update project trackers, schedules, and dashboards.
  • Generate reports related to project progress, procurement status, and documentation.

Compliance

  • Ensure compliance with company procedures, client requirements, and project standards.
  • Maintain confidentiality of project information and documentation.
  • Assist in audits and quality control documentation when required.

Qualifications

  • Bachelor's Degree or Diploma in Business Administration, Project Management, Engineering, Construction Management, or a related field.
  • Minimum 2–5 years of experience in project administration, preferably within commercial, interior fit-out, or construction industries.
  • Experience in UAE/GCC fit-out projects is an advantage.
  • Pay: From AED4,000.00 per month
