Procurement Officer Job Discribtion

The Procurement Officer is responsible for managing the procurement process, ensuring the timely and cost-effective acquisition of goods, services, and materials required by the organization.

The role includes maintaining procurement records, coordinating with suppliers, monitoring purchase orders, and ensuring compliance with company policies and procedures.

Key Responsibilities And Procurement Operations

  • Prepare and process purchase requisitions, requests for quotations (RFQs), and purchase orders.
  • Source and evaluate suppliers to obtain competitive pricing and quality products/services.
  • Coordinate with internal departments to identify procurement requirements and priorities.
  • Ensure timely procurement and delivery of materials, equipment, and services.

Supplier Management

  • Maintain positive relationships with approved suppliers and vendors.
  • Obtain and compare quotations from multiple suppliers.
  • Monitor supplier performance regarding quality, delivery, and service levels.
  • Assist in supplier selection and vendor registration processes.

Documentation And Record Management

  • Create and maintain procurement logs, tracking sheets, and procurement databases.
  • Maintain accurate records of purchase orders, contracts, quotations, and related documents.
  • Prepare procurement reports and status updates for management.
  • Ensure all procurement documentation is complete and properly filed.
  • Follow-Up and Coordination
  • Follow up on purchase orders to ensure timely delivery.
  • Coordinate with suppliers, warehouse personnel, and end users regarding order status.
  • Resolve procurement-related issues such as delivery delays, shortages, or discrepancies.
  • Track outstanding orders and update stakeholders regularly.
  • Compliance and Reporting
  • Ensure procurement activities comply with company policies and approved procedures.
  • Support audits by providing procurement records and documentation.
  • Monitor procurement KPIs and contribute to process improvement initiatives.
  • Assist in budget monitoring and cost-control activities.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Procurement, Logistics, or a related field.
  • Professional procurement certification is an advantage (e.g., CIPS, CPSM, or equivalent).

Experience

  • Minimum 3–5 years of experience in procurement, purchasing, or supply chain operations.
  • Experience in Fit-out, engineering, facilities management, or a related industry is an advantage.

Skills And Competencies

  • Strong negotiation and communication skills.
  • Excellent organizational and record-keeping abilities.
  • Proficiency in Microsoft Office applications, especially Excel.
  • Ability to prepare procurement reports and maintain procurement logs.
  • Strong analytical and problem-solving skills.
  • Attention to detail and accuracy.
  • Ability to work under pressure and manage multiple priorities
  • This is a full-time, office-based position.
