Role Description

This position is initially offered as a 6-month contract, with the potential to extend or become permanent.

The Payroll Coordinator will be responsible for the day-to-day administration of international and UK payroll processes, ensuring all procedures are followed accurately and in a timely manner.

The role requires maintaining high levels of compliance, data integrity, and attention to detail to ensure all payroll transactions are processed correctly.

The successful candidate will also ensure that all relevant data is accurately captured and maintained within the system, enabling the correct invoicing of clients and the timely, accurate payment of contractors.

Payroll Duties

  • Set up new starters, personal details, contract amendments and termination forms at the beginning of each week.
  • Process incoming timesheets and expense claims ensuring they are correctly filed.
  • Adhere to relevant quality control checks before and after payroll processing.
  • Print the relevant payroll reports payslips, remittances and invoices, and file systematically.
  • Submit relevant payroll information to the Finance team by the relevant deadlines.
  • Resolve any payroll queries from contractors via telephone, email or letter.
  • Assist the billing team with the resolution of any client invoice queries.
  • Assist the Credit Controller and Billing teams where necessary in gathering vital billing information.
  • Accurately record and maintain pay history records for foreign taxpayers and liaise with the Company Account to meet payment deadline each month.

Payroll & Invoice Queries

  • Resolve any payroll queries from contractors via telephone, email, or letter.
  • Assist the billing team with the resolution of any client invoice queries.
  • Assist the Credit Controller and Billing teams where necessary in gathering vital billing information.

Tax Liabilities

  • Analyse and record PAYE liabilities from the monthly payroll reports. Liaise with Accounts for payment by the relevant deadlines.
  • Accurately record and maintain pay history records for foreign taxpayers and liaise with the Company Account to meet payment deadline each month.

Skills, Knowledge, and Experience

  • Experience working in a finance/payroll/sales/purchase ledger/credit control environment preferred.
  • Can maintain, implement, and improve several administration systems to a high standard.
  • Follow strict financial control guidelines.
  • Excellent attention to detail.
  • Good experience with Microsoft Excel and the rest of MS Office.
  • Strong administration and organisational skills.
  • Effective communication skills, written and verbal.
  • Results orientated personality.
  • Demonstrates desire and ability to solve complex problems and resolve errors.
  • Ability to work under pressure and adhere to strict deadlines.
  • Strong customer service skills.
  • Willingness to learn about international payrolls.
  • Outgoing personality and keen to work in a fast-moving environment.
  • Proactive and ‘hands on’ approach.

  • Flexible with working hours to meet the payroll deadlines.
