Role overview

Full-time, on-site Operations Officer role at ZIADA's Dubai office, reporting directly to the Business Operations Director.

Own day-to-day operations, with a primary focus on client and supplier/partner communication.

Manage European residency files, especially Spain, plus international RBI/CBI files and UAE corporate-services operations.

Responsibilities

  • Act as the main daily client contact, provide clear Arabic and English updates, explain next steps, collect documents, manage expectations, and handle escalations.
  • Coordinate partner lawyers, accountants, attestation and translation providers, appointment agents, and licensing authorities; chase pending items and escalate delays.
  • Deliver European residency files from onboarding through document preparation, appointments, filing, biometrics, card collection, and post-approval registrations.
  • Follow RBI/CBI files through document collection, due diligence, and approval; support UAE company formation, visas, and government transactions.
  • Coordinate the Dubai and Egypt operations teams, set priorities, and uphold response-time standards.
  • Verify client documents, maintain current CRM and shared-drive records, and report file status, bottlenecks, risks, and decisions to management weekly.
  • Improve checklists, templates, trackers, and procedures; use automation and AI tools, and update processes when regulatory or procedural requirements change.

Requirements

  • At least 3 years of operations experience in immigration, residency or citizenship programs, global mobility, or corporate services.
  • Experience as the main client contact and coordinating with lawyers, government-related service providers, or international partners.
  • Excellent written and spoken communication; fluent Arabic and professional English.
  • Hands-on European residency or comparable immigration-process experience, including attestation, apostille, sworn translation, and consular procedures; Spain experience is strongly preferred.
  • Available for full-time on-site work at the Dubai office.
  • Strong command of a CRM or task-management system such as ClickUp, Google Workspace, spreadsheets, and AI productivity tools.
  • High attention to detail and discretion with sensitive documents.

Strong advantages

  • CBI/RBI program experience, including Caribbean citizenship or European golden-visa and residency routes.
  • Spanish language skills and UAE free-zone or mainland company-formation experience.
  • Current UAE residence and immediate or short-notice availability.

Hiring process

  • Shortlisted applicants complete a practical operations task and an in-person interview at the Dubai office.
  • The employer asks applicants to apply only if they have direct, hands-on experience handling immigration, residency, or citizenship files.
