Job Summary
Amali Silk FZCO is looking for a responsible and well-organized Operations & Administration Executive to manage company administration, staff coordination, visa and insurance processes, license renewals, vehicle renewals, production follow-up, delivery supervision, and internal team coordination.
The ideal candidate should be proactive, disciplined, and able to manage daily operational matters smoothly while supporting management, sales, production, and delivery teams.
Key Responsibilities
- Handle employee visa processes, renewals, cancellations, and related documentation.
- Manage employee medical insurance and renewal coordination.
- Track and manage company vehicle registrations, renewals, insurance, and related documents.
- Coordinate company trade license renewals and other official documentation.
- Supervise production and delivery teams to ensure smooth daily operations.
- Coordinate with the sales team regarding orders, delivery schedules, customer requirements, and follow-ups.
- Support hiring, onboarding, employee documentation, and exit formalities.
- Assist management in staff performance monitoring, warnings, disciplinary actions, and termination processes when required.
- Maintain attendance records, leave records, duty timings, and internal company policies.
- Ensure company rules and operational procedures are followed by all staff.
- Prepare and maintain reports related to staff, vehicles, renewals, production, deliveries, and operations.
- Coordinate with external parties such as PRO services, insurance providers, government portals, vehicle service providers, and suppliers when needed.
- Handle day-to-day administrative and operational tasks assigned by management.
Requirements
- Previous experience in administration, operations, HR coordination, or PRO-related work in the UAE.
- Good knowledge of UAE visa, insurance, company license, and vehicle renewal processes.
- Strong communication and coordination skills.
- Ability to manage staff and follow up with multiple departments.
- Good computer skills, including MS Office, email, and basic reporting.
- Must be organized, responsible, and able to work under pressure.
- Experience in fabric, textile, warehouse, production, delivery, or trading company operations will be an advantage.
- UAE driving license will be preferred.
