About the Role

The Claims Officer is responsible for the end-to-end management of reinsurance claims — from initial notification to final settlement, recovery, and filing.

The role requires close coordination with cedants, brokers, and reinsurers (RI), accurate maintenance of the claims master records, and timely generation of debit/credit notes, ensuring all processes adhere to established protocols and turnaround standards.

Notifications, Acknowledgement & Initial Review

  • Review preliminary loss notifications from brokers or cedants; verify whether the account is bound and acknowledge receipt promptly.
  • Examine loss details to confirm completeness and accuracy, cross-checking against the SARB computation sheet.
  • Enter preliminary claim information into SARB to generate a Claims Reference Number and Preliminary Loss Advice (PLA).
  • Notify reinsurers of the loss by forwarding the generated PLA as a Loss Advice communication.
  • Capture complete claim data in the Claims Master Sheet upon initial entry.
  • Conduct monthly follow-ups on open PLAs to monitor status updates and reserve movements; complete and maintain filing of all related documents.

Finalized Claim Processing & SARB Entry

  • Acknowledge receipt of finalized claim documents from the cedant without delay.
  • Prepare the claim file in accordance with PLA requirements; raise any clarifications with the cedant on the same day or by the following business day at the latest.
  • Record the finalized claim in the SARB Computation Sheet and update the tracker status from open to finalized.
  • Update the Claims Master Sheet with both booked and settled figures upon finalization.

RI Follow-Up & Recovery

  • Conduct monthly follow-ups with reinsurers to pursue claim recovery and obtain confirmation of their share of loss.
  • Upon receipt of RI confirmation, generate the appropriate debit or credit note for the transaction.

TA Approval & Filing

  • Submit generated debit/credit notes to the Technical Accounts (TA) team for approval and record entries in the master sheet.
  • Ensure comprehensive filing of all claim documents — notifications, PLAs, SARB entries, correspondence, and debit/credit notes — for audit readiness and future reference.

Key Responsibilities for the role is as below

  • Acknowledge finalized claims and notifications from cedants/brokers within the same business day.
  • Raise all clarification queries to cedants on the day of receipt, or by the following business day at the latest.
  • Enter preliminary and finalized claim data in SARB with zero errors and within agreed processing timelines
  • Update the claims tracker and Claims Master Sheet with booked/settled figures after each finalization.
  • Conduct structured monthly follow-ups with all reinsurers for outstanding recoveries and document responses.
  • Generate debit/credit notes upon RI confirmation and submit to TA for approval without delay.
  • Maintain complete, audit-ready filing of all documents PLAs, SARB records, correspondence, and notes.
  • Ensure Claims Master Sheet is current, accurate, and reconciled with SARB at all times.

Job Specification

  • Experience: In similar role 2 - 4 yrs
  • Academic Qualification: Bachelor’s degree in insurance, Finance, Business Administration, or a related field.
  • Must Have Experience: Experience in reinsurance claims, insurance operations, or a related financial services role.
  • Special Demands of the Job: Flexible to handle different time zones, multiple cases and deadlines under pressure.

Expected Skills

  • Time management and prioritization.
  • Working knowledge of SARB / ERP systems, claims computation, and PLA generation.
  • Familiarity with reinsurance treaty and facultative structures, and cedant/broker relationships.
  • Proficiency in Microsoft Excel and claims management.
  • Strong attention to detail with the ability to manage multiple claims simultaneously within tight deadlines.
  • Effective written and verbal communication skills for liaising with cedants, brokers, and reinsurers.
  • Stakeholders coordination and communication.
