About the Role

We are seeking a highly organized, proactive, and discreet

Executive Office Manager

to support the Chief Executive Officer (CEO) and ensure the smooth operation of the CEO’s office.

This role requires exceptional coordination skills, strategic thinking, and the ability to manage senior-level communications and priorities effectively.

The ideal candidate will act as a trusted partner to the CEO, facilitating executive decision-making, managing confidential matters, and ensuring alignment across departments.

Key Responsibilities

  • **Executive Support:**
  • Provide high-level administrative and strategic support to the CEO, including calendar management, meeting coordination, and travel arrangements.
  • **Office Management:**
  • Oversee the daily operations of the CEO’s office to ensure efficiency, professionalism, and alignment with organizational standards.
  • **Communication Management:**
  • Draft, review, and manage correspondence on behalf of the CEO, including emails, reports, and official communications.
  • **Meeting & Agenda Coordination:**
  • Prepare agendas, presentations, and briefing materials; attend meetings when required and follow up on action items.
  • **Stakeholder Coordination:**
  • Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and follow-through.
  • **Confidentiality & Compliance:**
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • **Project & Task Management:**
  • Track strategic initiatives, monitor progress, and ensure timely execution of CEO directives.
  • **Process Improvement:**
  • Identify opportunities to improve administrative processes and enhance workflow efficiency within the executive office.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration or a related field.
  • Minimum
  • 3–4 years of experience
  • in executive support or office management, preferably supporting C-level executives.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills in ِ

English

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • High level of professionalism, integrity, and attention to detail.
  • Ability to work under pressure and manage competing priorities.
