Overview

Head of Administration

Hours

Monday – Friday

8:30am – 5:30pm

Role Overview

We are seeking an organised, proactive, and detail-oriented Head of Administration to oversee the day-to-day administrative and financial coordination of our growing company.

The successful candidate will play a key role in ensuring all company records, contracts, accounts, and project documentation are maintained accurately and efficiently.

This role requires strong organisational skills, the ability to manage multiple tasks simultaneously, and confidence in handling financial administration and project costing.

Key Responsibilities

  • Managing daily administrative operations across the business
  • Uploading, recording, and maintaining all new contracts and project documentation
  • Raising client invoices accurately and in a timely manner
  • Managing company payments, supplier payments, and maintaining payment schedules
  • Preparing and issuing weekly payment reports with supporting invoices to the company accountant
  • Tracking and recording project job costing, including contract value, associated expenses, supplier costs, and profitability
  • Maintaining accurate records of project budgets and expenditure
  • Obtaining NOC approvals, permits, and site access documentation where required
  • Ensuring all company administration, filing systems, and records remain organised and up to date at all times
  • Monitoring outstanding invoices and assisting with payment follow-ups where necessary
  • Maintaining supplier and subcontractor records
  • Assisting management with operational reporting and administrative support
  • Identifying areas where administrative systems and processes can be improved for greater efficiency and accuracy

Ideal Candidate

  • Previous experience in administration, office management, or accounts administration
  • Strong organisational and time management skills
  • Excellent attention to detail
  • Confident using Microsoft Office, Excel, and cloud-based systems
  • Ability to manage confidential information professionally
  • Experience within construction, aluminium, glazing, or project-based industries is advantageous
  • Ability to work independently and use initiative to solve problems

Desirable Skills

  • Experience with job costing and project profitability tracking
  • Knowledge of invoicing and payment processes
  • Experience handling permits, NOCs, or site access documentation
  • Strong communication and coordination skills
  • Familiarity with bookkeeping or accounting support tasks
  • Pay: AED4,000.00 - AED6,000.00 per month
