Profision is a specialist investment management firm based in DIFC.
We are looking for a proactive and highly organised Office Manager to take ownership of our day-to-day office operations while providing practical support across finance, compliance and HR administration.
This is a varied, hands-on position suited to someone who enjoys responsibility, follows through on details and is comfortable working closely with senior management in a small professional team.
The position combines office management with finance and compliance support; it is not a single-function administrative role.
What You Will Do
- Manage daily office operations, including facilities, vendors, supplies, access cards, visitors, meeting rooms, couriers, maintenance and office records.
- Support the Managing Director and senior team with meeting coordination, travel arrangements, document preparation and follow-up of action items.
- Coordinate HR administration, including employee files, leave and attendance records, onboarding and offboarding, visas, medical insurance, DEWS, payroll coordination and company assets.
- Support accounts payable and routine finance activities, including supplier invoices, employee expenses, payment documentation, bookkeeping, journal entries, bank and account reconciliations, VAT records and audit support.
- Maintain regulatory and corporate calendars, compliance registers and audit-ready records, including filing deadlines, licence and insurance renewals, policy reviews, training, attestations and vendor due diligence.
- Support AML/KYC administration by collecting documents, maintaining trackers, retaining screening evidence and following up on missing or expired information.
- Liaise professionally with banks, auditors, fund administrators, compliance advisers, legal counsel, vendors and other service providers.
- Provide routine coverage for the Finance Manager and help ensure recurring operational, finance and compliance deadlines are completed on time.
- What you will bring
- A bachelor’s degree in Accounting, Finance, Business Administration or a related discipline, or equivalent relevant experience.
- Two to five years of experience in office management or business operations, together with hands-on finance or compliance administration.
- Experience in investment management, financial services, accounting, legal or another regulated professional-services environment is strongly preferred.
- Practical knowledge of accounts payable, bookkeeping or reconciliations, audit support and AML/KYC or regulatory recordkeeping.
- Excellent organisation, follow-through, attention to detail and professional communication.
- The judgement and discretion required to handle confidential employee, financial and regulatory information.
- Strong Microsoft Excel, Word and Outlook skills, with the ability to learn new systems quickly.
- The ability to work independently, manage competing deadlines and work on-site in DIFC.
- Experience with DIFC or DFSA portals, UAE visa and HR administration, DEWS, medical insurance, payroll coordination, or international regulatory requirements would be an advantage but is not essential.
