Role Description
As an Office Manager at Quantum Foundry Copenhagen, you will oversee the smooth daily operations of a dynamic, science-driven organization.
In this full-time remote role, you will coordinate calendars and meetings, manage digital filing and documentation, and maintain up-to-date records, templates, and standard operating procedures.
You will be responsible for organizing virtual events and team meetings, handling inquiries from internal and external stakeholders, and ensuring timely communication across teams.
The role includes managing office-related vendors and services (where applicable), supporting onboarding and offboarding processes, and assisting with travel planning, expense tracking, and basic procurement workflows.
You will collaborate closely with leadership, HR, and technical teams to enable efficient processes and a high-quality experience for employees and partners.
Qualifications
- Strong Communication skills, including clear written and verbal communication, professional email etiquette, and the ability to interact effectively with diverse internal and external stakeholders.
- Proficiency in Administrative Assistance tasks such as calendar management, meeting coordination, documentation, and support of onboarding and routine HR-related workflows.
- Experience with Office Administration, including organizing digital records, maintaining procedures, coordinating vendors or service providers, and supporting basic finance or procurement activities.
- Comfort working with Office Equipment and digital tools (e.g., video conferencing platforms, cloud-based document management, office productivity software) and troubleshooting minor technical issues.
- Customer Service mindset, with a focus on responsiveness, reliability, and creating a positive experience for colleagues, visitors, and partners.
- Strong organizational skills, attention to detail, and the ability to prioritize tasks in a fast-paced, research-oriented environment.
- Ability to work independently in a remote setup while collaborating effectively across distributed teams.
- Previous experience in a tech, research, or startup environment is beneficial; experience supporting scientific or engineering teams is a plus.
- Relevant education or training in business administration, office management, or a related field is preferred, or equivalent practical experience.
