Role Description

This is a full-time on-site role for an Office Administrator based in Capital Governorate, Bahrain.

The Office Administrator will oversee daily office operations, manage office equipment and supplies, maintain organized documentation, and provide administrative assistance.

The role also involves communication with vendors, clients, and team members, as well as handling customer service-related inquiries and ensuring seamless office administration.

Qualifications

  • Proficiency in Administrative Assistance and Office Administration tasks
  • Experience with the use, maintenance, and management of Office Equipment
  • Strong Communication and Customer Service skills
  • Excellent organizational abilities and attention to detail
  • Knowledge of local and international business practices is a plus
  • Proficiency in office software tools (e.g., MS Office Suite)
  • Bachelor’s degree in Business Administration, Management, or related field is preferred
  • Ability to work independently and manage tasks effectively
  • Manage project development from initiation to closure.

Duties and responsabilities

  • Work with the Department Head and Project Manager to complete the project charter outlining scope, goals, deliverables, required resources, budget, and timing.
  • Self-motivated with the ability to work well both individually and in a team-oriented, collaborative environment.
  • Ability to listen and respond objectively to new ideas.
  • Ensure that all contracted project liabilities, obligations, and rights are understood and controlled.
  • Carry out other duties from time to time, as reasonably instructed by the Project Managers or by the Department head.
  • Keep a record of all documentation and communications related to the project separately and in a proper manner.
  • Organizing, attending, and participating in stakeholder meetings.
  • Documenting and following up on important actions and decisions from meetings.
  • Preparing necessary presentation materials for meetings.
  • Ensuring project deadlines are met.
  • Determining project changes.
  • Providing administrative support as needed.
  • Undertaking project tasks as required.
  • Develop project strategies.
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Assess project risks and issues and provide solutions where applicable.
  • Ensure stakeholder views are managed to project the best solution.
  • Carry out other duties from time to time, as reasonably instructed by the Managers or by the Department head.

  • Excellent communication skills, both written and verbal, with the ability to effectively
  • collaborate with cross-functional teams.
  • Proficient in project management tools and software
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills and the ability to think critically.
  • Knowledge of best practices in project management methodologies
  • Ability to adapt to changing priorities and handle multiple projects simultaneously.
  • Excellent interpersonal and leadership qualities, with the ability to build and maintain strong working relationships.

Experiences

  • Previous experience in coordinating projects, preferably in a similar industry or field
  • Demonstrated ability to effectively manage project timelines and budgets.
  • Proven track record of successfully collaborating with diverse teams to achieve project objectives.
  • Experience in monitoring and reporting project progress to stakeholders
  • Familiarity with project management principles and methodologies
