Overview
- The Institute Of Preventative Medicine is looking for a Medical Concierge who will look after the day-to-day tasks and management of patient appointments (external and internal) and to provide general and secretarial support to our doctors.
- This will involve audio typing skills along with administrative tasks including carrying out regulatory research and executing regulatory requirements under supervision.
- Always acting in a professional, caring and efficient manner to patients, staff and internal/external stakeholders.
- Full- time role with flexibility of remote working - shift work catering to all time zones.
- Roles and Responsibilities
- To manage daily emails in multiple inboxes.
- To effectively and politely handling of calls.
- To carry out regulatory research and executing regulatory requirements with guidance.
- To utilise the patient management software in keeping with the up to date admin protocols.
- Management of incoming results, clinic letters, noteworthy emails, ensuring the Doctor receives copies of all in a timely manner.
- Processing of patients lab results including ensuring the results are seen by the Doctor in a timely manner and keeping patient records up to date with final results.
- Book and assist with the smooth running of Zoom meetings.
- To manage end-to-end external bookings for patients following the steps in the up to date protocol.
- To carry out ad hoc tasks within a reasonable scope as the Doctor or line manager requires e.g. restaurant reservations, courier bookings, taxi bookings, etc.
- To manage end-to-end internal bookings for patients in a timely fashion.
- To maintain and ensure utmost discretion and confidentiality within our team and external stakeholders.
- To maintain the safety of our patients and stakeholders at all times.
- Effectively manage ad hoc and recurring tasks through a task management system approved by the company whilst maintaining patient confidentiality through anonymising data.
- Foster strong communication across medical staff and non-medical staff, managers to create an efficient work environment.
- Relationship management with key external stakeholders, (patients, referring practices, practices we refer on to and clinicians).
- Assess any problems/ shortfalls and make decisions to resolve them quickly, or escalate to line manager as required.
Essential Skills
- Empathetic to patients and staff.
- Forward thinking with exceptional attention to detail.
- Very experienced with Microsoft Word/Excel +/- Mac.
- Excellent telephone manner and ability to adapt communication to suit individual's needs.
- Ability to work and think independently and make links with tasks at hand.
- Be willing to improve/build upon current skill set.
- Be passionate and process driven.
- Ability to communicate with internationals and work through possible language barriers.
- Strong work ethic and verbal and written communication skills
- Critical thinking and problem-solving skills.
- Previous experience in private healthcare would be advantageous.
Job Type: Full-time
Pay: AED7,000.00 - AED9,000.00 per month
