Job Description: Logistics & Administration Officer Position Summary
We are seeking a highly organized and detail-oriented **Logistics & Administration Officer** to support daily supply chain and office operations.
This role is responsible for ensuring smooth coordination of shipments, accurate processing of orders and documentation, and efficient administrative support across the organization.
The ideal candidate thrives in a fast-paced environment, demonstrates strong communication skills, and takes a proactive approach to improving processes and service quality.
Key ResponsibilitiesLogistics & Supply Chain Coordination
- Coordinate and oversee daily supply chain operations to ensure timely and accurate order fulfillment.
- Review purchase orders, shipping documents, and related paperwork to ensure accuracy and compliance.
- Plan, schedule, and track shipments based on customer requirements and internal timelines.
- Arrange special shipping requirements and liaise with freight forwarders, suppliers, and warehouses.
- Manage raw material orders and maintain adequate stock levels to meet production and customer needs.
- Maintain detailed records of open orders, shipments in transit, and completed deliveries.
- Assist the finance team with preparing invoices, bills, and shipment-related financial documentation.
- Monitor distribution and shipment budgets to ensure cost efficiency.
- Ensure all logistics activities comply with quality, safety, and service standards.
- Support the development and implementation of improved supply chain processes and workflows.
Administrative Support
- Manage office supplies inventory and place orders as required.
- Maintain and update company databases, records, and internal systems.
- Organize and manage filing systems for confidential and important documents.
- Manage company calendars, schedule appointments, and coordinate meetings.
- Handle incoming and outgoing communications, including emails, calls, letters, and packages.
- Arrange travel, visit visas, accommodations, and related logistics for staff.
- Prepare reports, memos, and correspondence as required by management.
- Support general office operations to maintain a smooth and professional work environment.
Qualifications & RequirementsEducation & Experience
- Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field.
- 2–4 years of experience in logistics, supply chain coordination, or administrative roles
- *(experience in chemical distribution or industrial sectors is an advantage).*
Skills & Competencies
- Strong understanding of supply chain processes, shipping documentation, and order management.
- Excellent organizational and multitasking abilities.
- High attention to detail and accuracy in documentation.
- Proficiency in Microsoft Office (Excel, Word, Outlook); ERP system experience is a plus.
- Strong communication and customer service skills.
- Ability to work under pressure and manage multiple priorities.
- Problem-solving mindset with a proactive approach.
- High level of professionalism, confidentiality, and reliability.
- Pay: AED3,000.00 - AED4,500.00 per month
