Job Summary

We are seeking a highly organized and detail-oriented **Real Estate Listing Coordinator** to manage the end-to-end listing process for residential and commercial properties.

The ideal candidate will coordinate with agents, photographers, marketing teams, and clients to ensure listings are accurately prepared, marketed, and maintained across multiple platforms.

This role requires exceptional communication skills, strong administrative abilities, and a customer-service mindset.

Key Responsibilities

  • Coordinate the complete listing process from signed listing agreement to active market launch.
  • Collect and verify all required property information, including specifications, pricing, legal documents, and disclosures.
  • Prepare, proofread, and publish property listings on the MLS, company website, property portals, and social media platforms.
  • Schedule professional photography, videography, virtual tours, floor plans, and staging appointments.
  • Ensure all listing information is accurate, compliant, and updated as needed.
  • Monitor listing performance and promptly make requested price or content updates.
  • Coordinate with real estate agents, sellers, buyers, marketing teams, and external vendors.
  • Maintain organized digital and physical files for each listing.
  • Track listing deadlines, contract dates, and marketing timelines.
  • Respond to listing-related inquiries from clients and team members.
  • Prepare marketing materials, brochures, flyers, and property presentations.
  • Generate listing activity reports and provide regular updates to agents and management.
  • Ensure compliance with company policies and local real estate regulations.

Qualifications

  • Bachelor's degree or diploma in Business Administration, Marketing, Real Estate, or a related field (preferred).
  • Minimum 1–3 years of experience in real estate administration, listing coordination, or office administration.
  • Experience with MLS systems, CRM software, and property listing portals is an advantage.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to manage multiple listings and deadlines simultaneously.
  • Customer-focused with excellent interpersonal skills.

Preferred Skills

  • Knowledge of real estate contracts and documentation.
  • Experience using Canva, Adobe Creative Suite, or similar marketing tools.
  • Familiarity with social media marketing for real estate.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Problem-solving mindset with strong follow-up skills.
