Invoice queue and validation
- Review invoices daily in SAP and TEMS, prioritizing by payment due date and critical supplier status.
- Monitor email and ticket queues for disconnection notices, past-due notifications, and rejected invoices; update tickets at least weekly.
- Escalate urgent invoices to Vendor Managers.
- Validate invoice and vendor details, currency, bank account, and purchase-order number against internal records.
- Check tax and fee allocation and calculate tax versus surcharges using internal guidelines.
Contract and issue management
- Match invoice line items to contract deliverables and confirm billing dates align with service acceptance and termination dates.
- Add billing circuit IDs and other invoice identifiers to the corresponding TEMS deliverables.
- Validate variable usage charges, including colocation power and IP transit, against rate tables and minimum commitments.
- Log vendor discrepancies and create tickets for missing invoices, payment failures, funding requests, and master-data updates.
Financial maintenance
- Review purchase orders for funding risks and unapplied credit notes.
- Process credit notes and true-up invoices, documenting exchange rates and original invoice references before delegation.
- Track and validate late fees; approve valid fees under $1,000 USD and delegate higher amounts for review.
Qualifications
- Four to six or more years of payment-systems experience in large multinational companies, including accounts payable, invoicing, payment terms, and accounting techniques.
- Experience with invoice or payment systems such as SAP.
- Experience with ticketing systems for issue reporting and software or process bug tracking.
- Advanced spreadsheet skills and basic data analytics; Google Sheets is preferred.
- Excellent communication, interpersonal, analytical, organizational, prioritization, and multitasking skills; attention to detail and ability to meet deadlines.
- A bachelor’s degree in finance, accounting, or another business discipline is preferred.
- Understanding of data center or network backbone operations and telecom experience are preferred.
