Inventory & Procurement Coordinator

About This Role

Key Responsibilities:

Stock Tracking & Order Monitoring

• Monitor stock movement for new and existing orders.
• Follow up on Back Orders (BO) and upcoming shipments to ensure timely delivery.

Local Purchase Order (POD) & Pricing Coordination

• Post Purchase Order Direct (POD) in the inventory system upon receiving the commercial invoice.
• Coordinate with the responsible person to obtain accurate pricing and enter it into the system.
• Open Purchase Vouchers upon receipt of shipments to complete the procurement process.

Inventory Management

• Check inventory levels regularly and report overstock and non-moving items.
• Coordinate with the warehouse for accurate stock updates and reporting.
• Conduct yearly physical stock taking and reconciliation.

Item Management

• Create new items in the system, updating OE numbers, aliases, and categories.
• Link new items with existing ones where similar OE exists.
• Coordinate with the warehouse to update item locations in the system.

Discrepancy Reporting

• Identify and report discrepancies between commercial invoices and received quantities.
• Collaborate with the warehouse to resolve inconsistencies in stock records.

System & Data Accuracy

• Ensure all product information is accurate and up-to-date in the inventory system.
• Maintain and improve item classification for efficient inventory control.

Qualifications & Skills:

• Bachelor’s degree in Business Administration, Supply Chain, or related field.
• 2–5 years of experience in inventory, procurement, or supply chain operations in auto spare parts industry.
• Familiarity with ERP systems is Must.
• Strong attention to detail and organizational skills.
• Ability to communicate effectively with cross-functional teams.
• Proficiency in MS Excel and data entry.

Experience:

• Auto Spare Parts Industry: 3 years (Required)
