Import Assistant / Export Assistant / Trade Documentation Assistant

Role overview

Responsibilities

• Support import shipments, coordinate delivery schedules, and assist with supplier and freight forwarder communications.
• Help coordinate export orders, track shipments, and communicate with logistics partners.
• Prepare, organize, and verify invoices, packing lists, shipping documents, and trade-related records.
• Track shipments and follow up on customs clearance documentation where required.
• Maintain accurate shipping records, databases, and filing systems.
• Coordinate with suppliers, customers, freight forwarders, and internal departments.
• Help ensure documentation is complete, accurate, and submitted on time.

Qualifications

• A diploma or equivalent qualification in logistics, international trade, supply chain management, or business administration is preferred.
• Previous experience in import/export operations, shipping, logistics, or administration is advantageous.
• Basic proficiency in Microsoft Office, particularly Excel and document management.
• Strong organization and attention to detail, with good written and verbal communication skills.
• A proactive attitude, willingness to learn, and ability to manage multiple tasks efficiently.
